1. Many of the error reports that AMIGOS has received in the past have been improperly
filled out. Some of the more common mistakes have been (1) description of error
followed by correction have not been filled out at all; (2) error and corrections have not
been underlined; (3) proof of correction when necessary has not accompanied error
report (printouts from the screen of the error itself have accompanied some reports -
these are not needed. Only copy of proof of correction is needed), and (4) no signature
of the reporter of the error has been given. Because of these and other mistakes in
using the form, much valuable AMIGOS staff time has been spent in attempting to
handle the reports. In an attempt to alleviate these problems, the Error Report Policy
has been attached to this issue of BITS & TIDBITS. Please read it carefully. Anyone
having questions regarding how to fill out the form should contact the User Services
Dept. of AMIGOS. Error reports are important and at present are our only means of
quality control. We need the reports, but properly filled out, please. Any improperly
filled out reports will be sent back to the originating library.
2. As there is no filing indicator in the 740 field, titles in this field having an initial article
must be searched using the initial article in the search key. OCLC is currently studying
the possibility of libraries omitting the initial article whenever inputting a 740 field.
However, until a decision is reached, libraries should continue to input the initial article
when given as part of the title.
3. Brackets are at present not system supplied whenever subfield "h" (media qualifier) is
used. However, OCLC does plan in the future to have the brackets system supplied.
Therefore, subfield "hit should be input without brackets. The record could then be
reformatted and the brackets added for card printing purposes. Records in the data
base that contain the brackets should be reported as errors.
4. Whenever adding a record to the data base that does not contain a call number, the
record should be added without a call number and without the use of the suppress X
function. The record should then be reformatted and the suppress X function used in
the appropriate call number tag. If the suppress X function is used at time of input it
remains as part of the record. If the suppress X function is not used at all a unit (zc)
card will be produced.
